This is a PRN* position covering the 7 locations above. Applicants will need to be readily available to fill-in when the regular receptionist is unavailable due to scheduled leave or sudden illness.

Description & Duties

  • Create list of bad debts with use of athenaNet Electronic Health Record (EHR)

  • Review bad debts for further collection efforts by third-party collection agency

  • Monitor and work with third-party collection agency regarding accounts receivable

  • Prepare month-end balancing reports from clinic systems for Finance Director

  • Reconciliation of clinic bank accounts and other balance sheet accounts on a monthly basis

  • May provide occasional support for billing related issues

  • Assist in preparation of standard journal entries and journal entries to reconcile accounts to general ledger

  • Key entries into QuickBooks software with a high degree of accuracy

  • Assist Finance Director with clerical functions

  • Various account reconciliations, including bank accounts, capital assets, payroll, inventory, etc

  • Assist in preparation of various audit schedules for external auditors

  • Perform clerical and other duties as assigned or needed by the Finance Director to enable efficient function of the Administrative office resulting in a smooth and timely workflow

  • Post invoices, vouchers, etc. to QuickBooks; print and mail checks to pay vendors on time

  • Maintain detailed Accounts Payable records

  • Monitor clinic bank accounts and transfers excess to the administrative bank account

  • Make deposits into local bank accounts

  • Monitor provider benefits in accordance with contracts

  • Maintain grant expenditure logs

  • Prepare and maintain various tax forms (1099's, W-9's)

  • Answer phone in admin office; take messages as necessary

  • Take ownership/contribute to special projects that require immediate attention

  • Travel between locations as needed (all locations within 50 mile radius)


  • Associate's Degree in Accounting or related field

  • Previous experience in Accounting, Accounts Receivable, and Accounts Payable procedures

  • Proficient in athenaNet Electronic Health Record (EHR) or other Electronic Health Record software

  • Proficient in QuickBooks or other accounting/accounts payable software

  • Proficient in Microsoft Excel, Word, & Outlook, and use of internet

  • 10-Key calculator skills

  • Highly organized; able to prioritize duties

  • High degree of communication skills

  • Be able to work under strict timeframes and deadlines

  • A high degree of accuracy in all procedures

  • Possess a very strong troubleshooting methodology to tackle issues efficiently

  • Self-starting and self-sufficient to complete tasks timely and effectively
